Terms and Conditions: AJS Photographic Ltd

1. Introduction
These terms and conditions govern your use of our services, so please read them carefully before engaging with us. By using our services, you agree to be bound by these terms and conditions.

2. Services Provided
AJS Photographic Ltd offers professional school photography services including but not limited to individual student/staff portraits, class photos, group photos, event photography and visual marketing.

3. Orders and Payments for photos
• Orders can be made through our website which can be accessed via our QR proof.
• We accept payment via our online shop.
• All prices are inclusive of VAT unless otherwise stated (the channel islands are not subject to VAT).

4. Cancellations and Rescheduling
• Due to the nature of the seasonal work we operate a 12 month contract as standard, however on occasions this may be 24 months depending on the agreement with the school. This will be a variation noted on the booking form. If bookings are made prior to 12 months then the length of contract will be until the date of shoot or by otherwise date of signature by the school.
• Cancellations made within this time will be subject to the loss of income. Class groups at £3.00 per head of roll and individuals at £10.00 per head of roll inclusive of VAT. The commission rate will be refunded back to the school/trust in the following February.
• In the event of unforeseen circumstances such as illness or inclement weather, we reserve the right to reschedule the photography session at no extra cost.
• The school also reserves the right to reschedule in the event they are unable to make the original agreed dates.

5. Photography Session
• It is the responsibility of the school to ensure that all students are present and prepared for their photography session at the designated time. Each class will take approximately 10 minutes and for class groups they should be arranged in approximate height order.
• AJS Photographic Ltd will provide all necessary photography equipment and props.
• We aim to capture high-quality images; however, we cannot guarantee that every student/staff member will be satisfied with their photograph for reasons out of our control.

6. Image Selection and Ordering
• Following the photography session, proofs will be made available for viewing and selection.
• Orders for prints and digital files can be placed online via our online shop which can be accessed from the QR proof.
• Orders must be placed within the specified timeframe communicated by AJS Photographic Ltd.
• Late orders may be subject to additional fees/postage costs.

7. Delivery
• Digital files will be delivered electronically to the email address provided at the time of ordering.
• Printed photographs will be delivered to the school for distribution within the agreed upon timeframe.
• AJS Photographic Ltd is not responsible for any delays in delivery caused by unforeseen circumstances such as postal delays.

8. Usage Rights
• AJS Photographic Ltd retains the copyright to all images captured during the photography session.
• The school is granted a non-exclusive license to use the images for non-commercial purposes such as yearbooks, school newsletters, promotional materials and school records system.
• For individual photographs the school will be required to provide limited data in advance for the purpose of image link this will be in the form of an excel spreadsheet. AJS Photographic Ltd is a SIMS accredited photographer and will supply the relevant licence for those applicable schools at no extra cost.
• Images may not be altered, edited or copied without the prior written consent of AJS Photographic Ltd.

9. Privacy
• AJS Photographic Ltd respects the privacy of all individuals involved in the photography session.
• Personal information shared prior to the photography session will be used solely for the purpose of providing our services and will not be shared with third parties without consent in accordance with the GDPR 2018 directive (refer to our private policy/ statement).

10. Liability
• It is the responsibility of the school to ensure the safety and well-being of students and staff during the photography session. AJS Photographic Ltd will ensure that the set is suitable and safe. This will include yearly PAT tested equipment and secure trailing wires etc.

• AJS Photographic Ltd provides public liability of £5,000,000 in the event of loss damage or injury.

11. Amendments
• AJS Photographic Ltd reserves the right to amend these terms and conditions at any time without prior notice.

12. Governing Law
These terms and conditions shall be governed by and construed in accordance with the laws of England and Wales. By the completion of a signed booking form with AJS Photographic Ltd, you agree to abide by these terms and conditions. If you have any questions or concerns, please contact us at:
